Software to Manage Multiple Cars for maintenance, etc

    Hi,

    I have 11 cars now and I am struggling with managing their maintenance/repair schedules, insurance status, registrations, etc.

    My assistant and I have probably spent 2 man weeks each on trying to keep this organized. I was wondering how others do it.

    Older threads on this forum recommend some softwares that seems dated and probably are at end of life for support. Ideally, i would have a cloud based solution that I can log into from my laptop when i am at my car garage.

    I want to track:
    Maintenence schedules
    Insurance Status
    Registration renewals/Inspections/Excise Tax payments
    Mileage
    Repair needs (eg, my Ferrari 360's gas cap won't open electronically).

    Those are very different categories.

    I keep a separate drive log spreadsheet (separate tab for each car), recording when, odometer, and miles difference from prior (miles driven) and any notes such as where you went.

    That log also includes when the car is idled, usually to warm engine oil to keep seals healthy

    Insurance/registration/etc, (separate tab for each car) with full history of each car + VIN

    And, maintenance / work done, also spreadsheet (separate tab for each car), date, odometer reading, what was done (free form), who did the work and for any pending needs, highlighted at top

    As for cloud based, you can use various web-based spreadsheet products and store in cloud too though I do recommend regularly backing it up

    A spreadsheet allows you to free-form it and create what is important to you, for instance, I always lead with a date column and everything else follows and if you have scans/PDFs of invoices, create separate folders for each car, maybe using VIN as folder name, and filenames start with a date, i.e. "2024-09-19(maintenance).jpg"

    as for lack of replies, maybe some hire a caretaker / store cars with a service such as a Ferrari dealer/etc

    no, no one else has this issue... it's impressive though that you could think another person on the planet, that is ALSO an active member of a car forum, could actually share your problem. NICE JOB though. Your level of success is beyond my level of comprehension

    I cant imagine 11 being very hard

    So... I might be one of the younger guys on here...

    And the way I do it...

    Is the old fashioned way.


    I have a clip board in each car with a check sheet and notes.

    On my classic cars... Fuel literally evaporated so I keep a lot of when I put fuel in it last. So if I only had 3 gallons in it 3 months ago... And that was over the summer... The reason why it may not be starting is... The gas evaporated so stop banging on the starter and draining the battery.

    I just keep a running check list of things and I do a sweep of the cars every other Friday typically.

    From that list I make my to do list (on my phone) for the next day or for Monday and I start tackling the problems. I just prefer to leave the lists in the car and write the notes down on the car when I park it what's wrong with it etc...

    It's easy to forget when you come back from cars and coffee and then rush off and do something else and then make a list on an excel sheet. You will forget something.

    As far as registration... In some states you can request fleet tags. This will make all the registrations due on the same month across the board.

    Insurance well that's a different problem and a personal one. There is no silver bullet for that.


    I think the spreadsheets are cumbersome and it flat out doesn't work for me.

    If I can manage it by a spreadsheet I can manage it in my head and I'm just making a spreadsheet to feel more accomplished.

    Maybe I'm just old school. Paper and pen works best.

    Mark Pieloch from american muscle car museum has his collection of 400-500 cars on a software management system - he is in Melbourne Florida - maybe he can shed some light on this for you.

    I believe most collectors dont have a system - just prepare the car to drive and check it over prior to hiring the road.

    I use Excel with a spreadsheet for each of 4 cars and 1 motorcycle. With all the different mileages, dates and things done and need to be done, I couldn't possubly keep it in my head, but then I'm old. :confused:

    Perhaps you should be reflecting on your level of comprehension.

    thanks for the replies. Excel seems to be the best way to keep track of it.

    maybe an excel spreadsheet tied to one drive so that I can access from my phone (per technom3’s comment about not having time to go to the computer right after using the car).

    To have a cloudbased spreadsheet, you could consider Google Sheets, or MS Excel in combination with MS sharepoint/OneDrive.

    Perhaps you might want to consider if the benefits of a cloud-based solution outweigh the risks: Putting a list of collectible cars online might come with nasty side effects.

    what side effects would be?

    I built an excel template yesterday. I’m going to play around with the cloud today.

    for my normal life I use Dropbox but it doesn’t allow editing on iPhone I think. I believe onedrive does.

    I looked at the App Simply Auto that @flash32 mentioned. It does what i am looking for. But it costs a nominal amount of money and some company would have now have that information
